Event Sessions

Split events into multiple sessions for scheduling.

Sessions let you divide an event into multiple time blocks. Useful for seminars with morning and afternoon components, multi-day events, or tournaments with separate divisions running at different times.

Creating Sessions

1

Open event settings

Go to your event's management page and click the Sessions tab.

2

Add a session

Click Add Session to create a new time block.

3

Configure session details

Enter the session name, start time, end time, and optionally a separate location or capacity.

4

Set pricing (optional)

Sessions can have their own pricing, or inherit from the main event. Useful for "full day" vs "single session" options.

5

Add more sessions as needed

Repeat for each time block. Sessions appear in order during registration.

Common Session Configurations

Morning/Afternoon Split

Divide a seminar or workshop into two sessions. Members can register for one or both.

Example: Morning 9am-12pm ($35), Afternoon 1pm-4pm ($35), Full Day ($60)

Multi-Day Event

Create a session for each day. Useful for weekend tournaments or camp-style events.

Example: Saturday ($45), Sunday ($45), Both Days ($75)

Tournament Divisions

Run different age groups or divisions at different times to manage mat space.

Example: Juniors 9am-12pm, Seniors 1pm-5pm

Topic-Based Sessions

Offer different content in each session. Members choose based on interest.

Example: Newaza Session (groundwork), Tachiwaza Session (standing)

Session Options

Session Capacity

Set individual capacity for each session. Useful when morning has more mat space than afternoon, or when different instructors have different class sizes.

Session Location

Override the event location for specific sessions. Useful when sessions are in different rooms or venues.

Session-Specific Pricing

Set different prices per session. Members pay only for the sessions they select.

Bundle Pricing

Create a "Full Day" or "All Sessions" option at a discounted rate compared to individual sessions.

How Registration Works

When an event has sessions, the registration flow changes:

  1. Member clicks to register for the event
  2. They see a list of available sessions
  3. They select which sessions they want to attend
  4. Price is calculated based on their selections
  5. They complete checkout

Tip: If you want members to register for the whole event without choosing sessions, don't create sessions. The event will function as a single block.

Viewing Session Registrations

Track attendance for each session separately:

  • By Session: See who's registered for each time block
  • By Member: See which sessions each person signed up for
  • Export: Generate session-specific participant lists
Offer a "full event" bundle at a discount to encourage all-day attendance.
For tournaments, sessions help manage check-in flow. Tell juniors to arrive at 8:30am and seniors at 12:30pm.
Be clear about session times in your event description. Members may not realize a "full day" event has separate sessions.
