On the day of your event, use the check-in feature to track who has arrived, verify registrations, and ensure everyone is accounted for.

Open event check-in

Go to your event and click the Check-in tab.

Find the participant

Search by name, or scan their QR code if they have the confirmation email on their phone.

Verify registration

The system shows their registration details, sessions, and any requirements (waivers, insurance).

Complete check-in

Click Check In to mark them as arrived. They'll move to the "Checked In" list.

Check-in Methods

Name Search

Type the participant's name in the search box. Select from matching results and check them in.

QR Code Scan

Participants can show the QR code from their confirmation email. Scan with a phone or tablet camera for instant check-in.

Bulk Check-in

For smaller events, check in multiple people at once from the registration list.

Self Check-in Kiosk

Set up a tablet in kiosk mode. Participants can check themselves in by entering their name or scanning their code.

Handling Issues

Missing Waiver/Insurance

If requirements aren't met, the system will flag the registration. Have the participant sign a waiver on the spot or verify their insurance before allowing check-in.

Not Registered

If someone shows up without registering, you can add them on the spot. Click "Walk-in Registration" to create their entry and collect payment.

Unpaid Registration

Pending registrations without payment show a warning. Collect payment before checking in, or use your judgment for known members.

Wrong Session

If someone registered for a different session, you can modify their registration on the spot or allow them to participate with a note.

Session-Based Check-in

For events with multiple sessions:

  • Filter the check-in view by session
  • See who's registered for each time block
  • Check in participants for specific sessions
  • Track no-shows for each session separately

If someone is registered for multiple sessions, you can check them in for all at once or for each session as they arrive.

After the Event

After check-in is complete, you can:

  • Review no-shows: See who registered but didn't attend
  • Export attendance: Generate a final list of who actually participated
  • Follow up: Send a message to no-shows or all attendees
Have multiple check-in stations for larger events. Each staff member can use their own device simultaneously.
Test QR scanning before the event. Make sure your device camera works well in the venue lighting.
Don't let the check-in line slow down the event start. Have a staff member continue checking in latecomers.
