Creating Events

Set up new tournaments, gradings, seminars, and other events.

Create events to organize tournaments, gradings, seminars, or any other club activity that requires registration. Events can be free or paid, with flexible pricing and capacity options.

Creating a New Event

Go to Events

Navigate to Events from the main navigation, then click Create Event.

Enter basic details

Fill in the required fields:

  • Event Name - What you'll call the event
  • Event Type - Select from Workshop, Grading, Camp, Social, etc.
  • Start Date - When the event takes place
  • Start Time and End Time - Event hours
  • Location - Where the event is held
  • Capacity - Maximum number of participants

Add a description (optional)

Describe the event so members know what to expect. Include any requirements or things to bring.

Submit the form

Click the submit button to create the event. The event will be created in DRAFT status by default, allowing you to configure additional settings before publishing.

Event Types

Select the type that best matches your event:

Seminar / Workshop

Training events with visiting instructors or special topics. Supports multiple sessions throughout the day with separate registration options.

Grading / Promotional

Belt examinations and rank promotions. Collect registration fees and track attendance for grading events.

Camp

Multi-day training events, holiday camps, or intensive training weekends. Supports multiple sessions and day passes.

Social Event

Non-training events like parties, fundraisers, or gatherings. Simple registration without training-specific features.

Bring a Friend / Trial

Special events for prospective members to try your club. Great for marketing and growing your membership base.

Other

Any event that doesn't fit the above categories. Basic registration and check-in features.

Additional Settings

After creating the event, configure additional options from the event management page:

Pricing Tiers

Set up early bird, regular, and late registration pricing. Configure member vs. non-member rates.

Sessions

Split the event into morning/afternoon sessions or separate days. Members can register for specific sessions.

Requirements

Require specific waivers, insurance, or membership status for registration.

Registration Questions

Add custom questions for registrants (e.g., t-shirt size, dietary requirements).

Publishing Your Event

Events have three status levels that you can filter by:

DRAFT

Event is being set up. Not visible to members.

PUBLISHED

Event is live and accepting registrations.

CANCELLED

Event has been cancelled. Registered members are notified.

Once your event is set up, publish it to open registration:

  1. Review all event details for accuracy
  2. Set pricing tiers and sessions if needed
  3. Configure any registration requirements
  4. Click "Publish Event" to change status from DRAFT to PUBLISHED
  5. Share the event link with members

Tip: Published events automatically appear in the Member Portal and can be promoted via email announcements.

Set up events in draft mode first, then review everything before publishing. It's easier than editing a live event.
Events can be duplicated. If you run regular gradings or tournaments, duplicate a previous event to save time.
Double-check the event date before publishing. Changing dates after members have registered requires notification.
