Understand staff roles and what each role can access.

Ippon System uses a role-based permission system to control what each staff member can access. Assign the appropriate role based on their responsibilities at your club.

Available Roles

Role selection when editing a member

Role Descriptions

Owner

Highest Access

Full access to everything including billing, settings, and the ability to manage other owners. Only assign this role to business owners or principals.

Includes: All features, platform billing, club settings, staff management, data export

Manager

Access to most club management features except platform billing and some sensitive settings. Ideal for head coaches or office managers.

Includes: Members, payments, attendance, events, reports, communications, most settings

Coach

Access to member management, attendance, gradings, and class-related features. Cannot access financial reports or billing settings.

Includes: Members, attendance, gradings, classes, events (view/check-in), communications (send)

Transactional

Limited to day-to-day operations like check-ins and basic member lookups. Perfect for front desk staff or volunteers.

Includes: Attendance check-in, member search, full profile views, kiosk mode

Member

Standard member access to the Member Portal only. Cannot access the management dashboard. This is the default role for all members.

Includes: Member Portal access, own profile, class booking, event registration

Changing a Member's Role

  1. Navigate to the member's profile
  2. Click "Edit" on their profile
  3. Scroll to the "Club Role" section
  4. Select the new role from the available options
  5. Click "Save Changes"
Only Owners can assign or remove the Owner role. This prevents accidental lockouts.
Role changes take effect immediately. The staff member may need to refresh their browser to see their new permissions.
