Waiver Enforcement

Configure how waivers are enforced for check-in and event registration.

Enforcement settings determine what happens when a member with missing or expired waivers tries to check in to class or register for events. Configure these to match your club's policies.

Enforcement Modes

Block Check-in (Recommended)

Members cannot check in to any class until they sign required waivers. The kiosk or QR check-in will prompt them to see staff, and staff cannot override this without admin permission.

Warn Only

Members can check in, but staff see a warning that waivers are missing. A yellow indicator appears on their attendance record. Staff can remind the member to sign.

No Enforcement

Waivers are tracked but not enforced at check-in. Members can train regardless of waiver status. Not recommended for liability reasons.

Configuring Enforcement

To configure waiver enforcement settings:

  1. Go to Settings → Attendance & Reminders
  2. Find the "Enforcement" section
  3. Select your preferred enforcement mode
  4. Configure which waivers are enforced (you may have some optional waivers)
  5. Save your settings

Event Registration

For events that require specific waivers, enforcement works differently:

During Registration

If an event requires a waiver and the member hasn't signed it, they're prompted to sign as part of registration. They cannot complete registration without signing.

Event Check-in

If a waiver expires between registration and the event, enforcement kicks in at event check-in. The participant must sign a renewal before competing.

What Members See

When enforcement blocks a member, they see a clear message explaining what's needed:

Waiver Required

Please sign the Membership Waiver before checking in. You can sign from your phone or see staff for assistance.

Staff Override Options

In some situations, you may need to allow check-in despite missing waivers:

Temporary Override

Staff with appropriate permissions can grant a one-time override for that class. The override is logged and the member must sign before their next class.

Paper Waiver Upload

If a member signs a paper waiver, staff can upload a scan or photo to satisfy the requirement. The paper waiver is stored with the digital records.

In-Person Signing

Staff can pull up the waiver on a tablet and have the member sign electronically on the spot before allowing check-in.

Grace Periods

You can configure grace periods for expired waivers:

Expiration Grace

Allow members to check in for up to X days after their waiver expires. Default is 0 days (immediate enforcement).

New Member Grace

Allow new members to attend a trial class before signing. Enable this only if your local regulations permit it.

Use "Block Check-in" enforcement to ensure full waiver compliance and maximum liability protection.
Keep a tablet at reception so members with missing waivers can sign immediately instead of being turned away.
Document any overrides carefully. If you allow training without a signed waiver, you may be increasing your liability exposure.
