Staff Management

Invite instructors, assign roles, and manage kiosk accounts for your club.

Add your instructors, administrators, and staff to give them access to the management portal. Each role has different permissions so people only see what they need.

Staff

Roles & Permissions

Owner

Full access to everything including billing and staff roles.

  • • Manage platform subscription
  • • Access all settings
  • • Transfer club ownership
  • • Delete the club account

Manager

Full operational access to most club features.

  • • Manage members, plans, and events
  • • Access club settings (except billing)
  • • View all reports
  • • Process payments and manual registrations

Coach

Limited access focused on coaching activities.

  • • View member profiles and list
  • • Take class attendance
  • • Award grades and milestones
  • • Send announcements to classes

Transactional

Restricted access for front-desk/kiosk operations.

  • • Member check-in (Kiosk)
  • • Record simple shop or membership sales
  • • No access to sensitive member details or settings

Assigning Staff Roles

Staff members (except Transactional kiosk accounts) must be added as members first. To assign a role:

Open Member Profile

Navigate to Members and click the name of the staff member.

Edit Profile

Click the Edit button in the profile header.

Update Role

Select Coach or Manager from the Role dropdown menu.

Save Changes

Click Save. The staff member can now access the management portal.

Transactional (Kiosk) Accounts

Transactional accounts are special generic accounts used for kiosk tablets or front-desk computers. They are managed in a separate area:

Settings → Staff & Devices

Kiosk accounts allow for permanent sessions that don't expire. This prevents staff from having to log in repeatedly on shared hardware.

Managing Team Members

Change Role

Click "Edit" next to a team member to change their role. Changes take effect immediately.

Remove Member

Click "Edit" then "Remove from Team". They immediately lose access to the management portal.

Resend Invitation

If someone didn't receive their invitation, click their pending invite to resend.

Transferring Ownership

Only the current Owner can transfer ownership:

  1. The new Owner must already be a team member (Manager role)
  2. Go to Settings → Staff & Devices and click "Transfer Ownership"
  3. Select the new Owner from the dropdown
  4. Confirm the transfer (you'll become a Manager)

This action cannot be undone without the new Owner's cooperation.

Give instructors their own accounts so you can track who did what in the activity log.
Team members don't count toward your member limit—they're separate from regular members.
Review team access periodically. Remove people who no longer work at your club.
