Customize the automated emails your club sends to members.

Email templates control the content and appearance of automated system emails. Customize these templates to match your club's voice and branding while keeping the important information members need.

System Email Types

Welcome Email

Sent immediately after a new member creates their account.

Include: Welcome message, login instructions, what to expect

Payment Receipt

Sent after any successful payment (membership, event, shop).

Include: Payment details, amount, date, item purchased

Waiver Request

Sent when a waiver signature is requested from a member.

Include: Why it's needed, link to sign, deadline if applicable

Membership Expiring

Sent 7 days before a membership plan expires (if not auto-renewing).

Include: Expiration date, renewal link, benefits of renewing

Event Reminder

Sent 24 hours before an event the member is registered for.

Include: Event details, time, location, what to bring

Password Reset

Sent when a member requests to reset their password.

Include: Reset link, security note, expiration time

Email Branding

All emails automatically include your club branding:

  • Your club logo in the header
  • Club colors and styling
  • Contact information in the footer
  • Social media links (if configured)

Update your branding in Settings → Club Settings → Branding.

Keep email subject lines short and clear. Members should know what the email is about before opening it.
Test your templates by sending a test email to yourself before activating changes.
Avoid removing required variables (like payment amounts from receipts). These are marked as required in the editor.
