Managing a Lead

Review new contact

When a new contact comes in, review their information and source. Note any specific interests they mentioned.

Make initial contact

Reach out via phone or email within 24 hours. Move them to "Contacted" stage and add notes about the conversation.

Schedule a trial

Invite them to try a class. Move to "Trial" stage when they confirm.

Follow up after trial

Contact them after their trial to discuss membership options and answer questions.

Convert or mark lost

If they join, click "Convert to Member" to create their membership. If not, mark as "Lost" with a reason.

Track where your leads come from to optimize marketing:

  • Website - Contact form submissions
  • Phone - Inbound phone inquiries
  • Walk-in - People who visit in person
  • Referral - Recommended by existing members
  • Social Media - From Facebook, Instagram, etc.
  • Event - From demos or community events
Members who were referred have the highest conversion rate. Ask your members to spread the word!
